Reporting to the Senior Manager, Administration, the Assistant Manager of Administration manages the administrative support services for the loans and deposits functions and ensures the delivery of optimal service to internal members. The incumbent performs deposit function-related activities and provides assistance and support to direct reports and branch staff.  He/She assists with identifying efficiencies and streamlining processes while ensuring compliance with security and legislative requirements.

You would…

  • Coordinate and manage the activities of the Administration Officers (Loans and Deposits) in the delivery of optimal internal member service, in accordance with the Collective Agreement when applicable. Responsibilities include but not limited to participating in the development of a sales and service culture by training employees; monitoring performance objectives; planning, assigning and directing work; providing on-going weekly coaching to reinforce positive behaviours; conducting annual performance reviews and bringing any performance-related issues to the Senior Manager, Administration. Recommends various personnel actions including but not limited to, hiring, rewarding, promoting, reassigning or discipline, and discharge where appropriate.
  • Monitor corporate communication and conduct regular meetings to ensure direct reports are well informed of changes to policies and procedures, company direction and important developments.
  • Oversee and monitor attendance; develop schedules and ensures adequate staffing complement at all times in order to provide an optimal level of service.
  • Ensure direct reports follow proper procedures when completing reviews of loan and deposit applications; verify that all documentation is in accordance with established policies, procedures and regulatory requirements. Ensure compliance with audit and security standards, policies and procedures, and loss prevention measures.
  • Performs various activities of the Deposit Services function including but not limited to:
  • Processing term renewals.
  • Assisting with the reporting process with Trustees, Regulators and CRA among others.
  • Filling in for existing members of the deposit administration team during absences.
  • Generating and completing various reports as required.
  • Completing other Deposit Services activities as they are introduced.

You have…

  • Completed a Bachelor’s Degree in Business Administration or Commerce.
  • Five years of relevant experience, including a minimum of two years supervisory experience; or equivalent combination of experience, training and education.

  • Able to manage and implement change management initiatives.
